Location: New Bern Date Created/Last Evaluated: 10/23/2024 Summary Responsible for providing administrative support to physicians, APPs, executives, and staff in assigned location within a healthcare environment which involves performing a full range of administrative duties and that requires a thorough understanding of the organization, functions, policies and procedures.

Minimum Qualifications - 2 year Community College diploma in Medical Office Administration or related field.
- Requires 4 years of relevant experience.
- Proficiency in Microsoft 365 Programs (Word, Outlook, Excel)
- Experience with QGenda, and EPIC software preferred.
- Active notary public or ability to obtain.
Knowledge, Skills and Abilities - Demonstrate advanced computer skills.
- Ability to maintain the ethics of confidentiality and the ability to maintain confidentiality of sensitive information.
- Ability to communicate well with physicians, staff and patients.
- Ability to communicate effectively both orally and written.
- Maintain a positive and professional attitude in all aspects of work from patient care to interaction with co-workers and physicians.
- Reliable transportation to allow individuals to provide support to offsite locations as necessary.
- Ability to work independently with minimal supervision.
- Proactive individual with the ability to be a self-starter with strong independent decision-making skills and attention to detail.
- Ability to make evaluative judgments.
- Frequent changes to scheduling require this individual to be flexible and able to adapt to changes quickly. The ability to effectively multi-task and take directions from numerous individuals is a must in this position. The ability to listen and work with physicians and providers to achieve a fair solution that allows for continued efficiencies while trying to please all parties is a challenge.
Supervisory Responsibilities: None
Essential Functions (%) Maintenance and administration functions in support of physicians, NPs, and executives such as travel arrangements, transcription, mileage and expense reimbursements, meeting schedules and other administrative tasks for physicians and NP. 15%
Scheduling is a major function of this position to include the following but is not all inclusive: 70%
- Create, maintain and publish master schedule for all providers within the Division assigned. Create and maintain provider templates within Acumen (EMR) and QGenda.
- Time and Attendance maintenance and tracking per assigned leave policies in ADP.
- Handle call outs/sick time over the weekend for providers.
- Coordinate Nephrology rotation for residents.
- Create a schedule plan for physicians and coordinators to help with daily workflow.
- Enter call schedule and hospital rotation in hospital system.
- Send call schedules to hospitals, call system, some units, and CKC.
Administrative tasks to support locations and staff to include the following but is not all inclusive: 15%
- Scheduling Interviews for physician and APP candidates.
- Order department supplies and other items on an as needed basis.
- Schedule refreshments and other support for meetings.
- Update practices/hospitals/units with new provider info
Physical Demands - Hearing, visual acuity, depth perception, balancing, handling, and talking.
- Reaching, grabbing, holding - fine motor skills
- Extended periods in a stationary or sitting position
- Repetitive motion such as entering data into computer-based programs
- Lift or move up to 25 pounds. Employee is expected to use appropriate ergonomics and tolls such as hand carts for heavier loads.
Work Environment Work is normally performed in a typical interior/office work environment. The noise level is usually moderate. While performing the duties of this job, the employee is regularly required to stand and talk or hear.
